How do I use call sheets for a shoot day?

A call sheet tells everyone on a shoot where to be and when. It lives on the project page, in the Shoot day group.

Steps

  1. Open the project and click "+ Call sheet". Pick the date and a template.
  2. Build the sheet from blocks: Header, Key times, Location, Weather and light, Services, People and text blocks.
  3. In the People block, check each person's call time. The day's Calendar bookings and the project's crew are added for you.
  4. Set each block to Shared or Team only.
  5. Set the status to Ready, then click "Send". Each person gets their own link with their call time, the date and the location.
  6. If you change something the crew would see, the sheet shows "Changed since sent". Click "Send update" and say what changed.

Good to know

  • Links open without an account and always show the live sheet.
  • Download PDF gives an A4 copy of the shared sheet.
  • Emails and phone numbers stay off the shared link unless you switch them on for that block.
  • "People on this sheet can send files" lets the crew send files back from their link.
  • The first Send makes a crew chat in Messages.

What it does not do

  • Nothing is emailed when you edit. Emails go only when you press Send.
  • The crew chat goes read-only a week after the shoot, or when the project is completed or cancelled.
