How do I turn an accepted quote into an invoice?

Once a client accepts a quote, the invoice comes from the accepted lines, so nothing is typed twice.

Steps

  1. Open the accepted quote in Quotes, or the Quote card on the project it made.
  2. Click "Create invoice from quote". You need the Quotes permission and access to invoices.
  3. A draft invoice opens with the lines the client accepted, including the options they picked, and the overall discount as its own line.
  4. Check the deposit line. A paid deposit shows as "Deposit paid". One not paid yet shows as "Less deposit", with a note in the editor.
  5. Adjust anything you need in the invoice editor.
  6. Send it like any other invoice.

Work scheduled under a quoted project never gets its own price and never shows in Send invoices, so booked work is never invoiced twice.

Good to know

  • The invoice goes to Xero like any other invoice when Xero is connected.
  • Lump sums on the quote show as Quoted work on the project's Services tab.
  • Accept on behalf records an acceptance by phone, email or in person, and works the same as the client accepting online.

What it does not do

  • An accepted price list cannot be turned into an invoice.
  • Quotes themselves are not sent to Xero.
