How do I send a quote, and what happens when it is accepted?

A quote goes to a client or a new prospect as a link and a PDF. The client accepts online, and Opsicom sets up the project.

Steps

  1. Open Quotes and click "New quote". Start blank or from a template.
  2. In To, search for a client, or choose New prospect and add their name, email and business.
  3. Add lines with Add from services, Lump sum, or text from the text library.
  4. Set Valid until and, if you want one, a Deposit on accept percentage. The draft saves as you type.
  5. Check it with Preview, then click "Send quote".
  6. The client opens the link, ticks "I accept this quote", types their name and accepts.

On acceptance, a prospect becomes a client, an Unscheduled project is made with the quoted services ready to schedule, and you get a notification and an email. A deposit becomes an invoice straight away.

Good to know

  • Opening the link marks the quote Viewed. Your own team opening it does not count.
  • Clients can ask questions on the quote page, and you answer from the quote.
  • One reminder goes two days before Valid until.
  • Create invoice from quote makes a draft invoice from the accepted lines, less any deposit.

What it does not do

  • Changes after sending stay private until you click Send update.
  • Quotes are not sent to Xero. The invoices made from them are.
  • Only a draft quote can be deleted.
