How do I schedule a shoot on the calendar?

The Calendar shows each team member's day in their own lane, on a 15-minute grid.

Steps

  1. Open Calendar.
  2. To book something new, click an empty time slot in a person's lane. The booking form opens with the time filled in.
  3. Pick the client, the location and the services. Choose "Add to existing project" to book onto a project you already have.
  4. To place work you have already accepted, drag it from the unscheduled sidebar onto a lane.
  5. A confirmation shows the project, the time and the person before anything is saved. Check it and confirm.
  6. To move a shoot, drag it to a new time or lane. An Undo shows for a few seconds.

On a phone, tap Schedule on a project. It shows who can do the work at that location and only the start times that fit. Then tap Book.

Good to know

  • Travel time between bookings is worked out from the locations. Shaded bands show the gap each booking needs.
  • The person booked gets a bell and an email with a calendar invite. Booking yourself sends nothing.
  • Busy time from a connected Google Calendar or Outlook shows on the Calendar and counts against availability.
  • D, W, M and L switch between Day, Week, Month and List. T jumps to today.

What it does not do

  • A booking on top of one the same person already has is refused, unless an admin, or someone with full booking access, chooses to double-book.
  • Deleting a whole project is final. Undo covers moves and removed visits only.
